Job Description

CIMON is looking for an Operations Specialist to join our team in a broad, hands-on generalist role. You'll help drive process improvements, coordinate logistics, support inventory management, provide light accounting support, and assist with HR-related work, in addition to keeping office operations and team culture running smoothly. This role blends strategic project work with day-to-day execution: you'll pick up initiatives across departments and step in wherever something needs doing.

You're someone who can move fluidly between strategic support (helping think through a process, a vendor negotiation, or an HR task) and the practical execution that keeps the company running day to day. This is a great fit for someone with 2-3 years of experience who wants broad cross-functional exposure and room to grow into more ownership.

What You'll Do

Inventory Support

  • Work alongside the Sales Operations Associate on inventory management: tracking stock levels, monitoring reorder points, and reconciling counts
  • Help maintain accurate, up-to-date inventory records and tracking spreadsheets
  • Assist with receiving, logging, and organizing incoming inventory shipments
  • Flag low-stock levels or count discrepancies before they become a problem
  • Help coordinate replenishment timing with vendors and internal teams

Strategic & Cross-Functional Support

  • Coordinate logistics, including trade show planning, shipping, and vendor deadlines
  • Provide light accounting support: expense tracking, invoice coordination, and vendor payment follow-up
  • Assist with HR support: onboarding logistics, benefits administration support, and policy/procedure documentation
  • Help research, evaluate, and roll out new tools and processes to improve team efficiency
  • Take ownership of tasks and small projects that fall between departments or don't have a clear owner: flag or handle them
  • Flag process gaps or inefficiencies and suggest improvements

Day-to-Day Operations

  • Serve as the point of contact for visitors, deliveries, and incoming calls, keeping the front office running professionally
  • Manage office facility needs: supplies, cleanliness, vendor coordination, and basic troubleshooting
  • Get quotes and coordinate with contractors or building management for office repairs and maintenance
  • Support team activities and culture initiatives, including birthdays, work anniversaries, and team events
  • Handle mail and shipping: sorting incoming mail, prepping outbound packages, and tracking deliveries
  • Set up and break down conference rooms, all-hands meetings, and client visits
  • Keep kitchen and common areas stocked and tidy
  • Coordinate equipment and workspace setup for new hires
  • Manage badge, key, or building access needs for the office
  • Support light travel coordination (booking and expense receipt collection) as needed
  • Pick up and drop off supplies, materials, or deliveries as needed
  • Handle general administrative tasks: mail, scheduling, filing, ordering supplies

Qualifications

  • 2-3 years of experience in an operations, administrative, HR, inventory/supply chain, or accounting support role required
  • Associate's or Bachelor's degree a plus
  • Proficient in Google Workspace (Docs, Sheets, Calendar)
  • Clear, professional communicator, written and verbal
  • Comfortable owning a varied set of responsibilities that span both strategic projects and daily execution
  • Strong sense of accountability and follow-through
  • Valid driver's license (for occasional local supply runs and pickups)

Nice to Have

  • Direct experience with inventory tracking, stockroom management, or basic supply chain processes
  • Experience supporting HR functions (onboarding, benefits, policy documentation) or basic bookkeeping/accounting
  • Experience with vendor management or negotiation
  • Exposure to industrial, manufacturing, or B2B environments
  • Interest in event planning, trade show logistics, or culture-building

What We're Looking For

  • Able to operate at two altitudes: comfortable with strategic, ambiguous projects as well as hands-on daily tasks
  • Proactive: you notice what needs doing and do it before being asked
  • Organized and detail-oriented, comfortable managing several workstreams at once
  • Comfortable with ambiguity: you don't wait for a task to be assigned before picking it up
  • Team-first attitude with genuine follow-through
  • Eager to grow within a fast-paced, cross-functional organization

What We Offer

  • Health, dental, and vision benefits
  • PTO and paid holidays
  • Direct exposure to company leadership in a lean, high-growth environment
  • Clear path to grow within operations
