Job Description
About the role
Fatemi & Co is looking for a long-term right hand to our Founder across four organizations. You will keep his calendar, communications, projects, people and follow-ups moving so he can focus on growing the businesses. This role is built for the long term, with a clear path to Chief of Staff as the companies grow.
Our Founder has more than 30 years of international business experience. He works fast, holds high standards, is tech-savvy, and uses AI tools (Claude, Zoho) every day. This role suits someone who wants to learn directly from an entrepreneur and grow with him.
You will support:
• GIALKO – natural and architectural stone, with a manufacturing facility in Udine, Italy. Sales support to the U.S. sales team, client communication, project follow-up, scheduling, trade shows, and coordination with the team in Italy.
• PACCSE (Persian-American Chamber of Commerce of the South) – meeting agendas and minutes, member follow-up, outreach, social media management, gala and event logistics.
• Fatemi Digital (digital marketing agency) – running and building our AI social media agents, the content calendar, and client and team coordination.
• Le Faucheur (luxury European tearoom, Dunwoody) – admin, vendor and event coordination, social media.
Key responsibilities
- Executive support and administration (about 25%)
- • Manage the Founder's calendar across all four organizations: book meetings, resolve conflicts, confirm attendees, and protect focus time.
- • Triage his inbox every day: draft replies, flag what is urgent, and close open loops without being reminded.
- • Run a daily priorities list, and brief him each morning on what is due, what is waiting on him, and what changed.
- • Follow up with the Founder himself until you get the decisions you need. Use whichever channel works, group your questions, and bring a recommended answer, without being a nuisance.
- • Arrange travel, including trips to Italy and trade shows.
- • Organize files, contracts and shared drives so anything can be found in under a minute.
- • Handle personal and household administration for the Founder, such as insurance, utilities, bills, appointments and errands.
- Technology, AI agents and social media (about 25%)
- • Supervise the AI agents the Founder built with Claude for Instagram, Facebook and LinkedIn. Review, edit and publish their drafts on schedule.
- • Create new agents as needed, with the Founder's help. Catch output that is wrong or off-brand, and fix it.
- • Manage social media for all four organizations, keep the content calendar, and track performance each month.
- • Keep learning new tools, apps, software and AI programs, and bring the best ones to the Founder and the team.
- • Be the team's first line of support for everyday software (Zoho, Claude, Google and Microsoft tools).
- Projects and follow-up in Zoho (about 15%)
- • Create and maintain projects, tasks, owners and deadlines in Zoho Projects and Zoho CRM.
- • Follow up with team members, vendors, subcontractors and clients until each item is done, and report status every week.
- • Keep client, member and contact records accurate and current.
- Client, member and partner communications (about 15%)
- • Be a professional first point of contact for clients, partners, members and dignitaries.
- • PACCSE: prepare board and committee agendas, take minutes, track action items, and follow up with members, sponsors and prospects.
- • Run outreach campaigns for membership, sponsorship and business development.
- • GIALKO: support the U.S. sales team with quotes, samples and presentations, track leads and orders in Zoho CRM, and coordinate with the factory in Udine.
- Events (about 10%)
- • Plan and run logistics for PACCSE events and the annual gala, trade shows, client events, and events at Le Faucheur.
- Team support, delegation and outsourcing (about 10%)
- • Be a steady, supportive presence for the team: offer guidance, help colleagues solve problems, and build strong working relationships.
- • Delegate work to the right team member, freelancer or subcontractor, and keep them on schedule and on budget.
- • Spot work that could be automated, outsourced or handed off, and propose how.
