Job Description
The Revenue Operations & Accounting Specialist is a critical cross-functional role sitting at the intersection of Finance and Commercial Operations. This position owns the full order-to-cash cycle for Solea laser sales— from order receipt and validation through invoicing, collections, and cash posting — while also serving as the Finance team's primary liaison to our field sales organization and Solea Success Manager team.
This is a hands-on, high-accountability role for someone who thrives in a dynamic environment where no two days are exactly alike. The successful candidate will bring genuine accounting rigor alongside the commercial instincts to work effectively with distributors, end-user customers, territory sales managers, and customer success colleagues to ensure every transaction is accurate, every invoice is timely, and every commission is paid correctly. As we continue to build out our Salesforce infrastructure and explore quoting tools, this role will also play a meaningful part in shaping and improving the operational processes they have today.
This hybrid position based in Waltham, MA. reports to the Accounting Manager and operates with a high degree of independence and initiative.
Key Responsibilities
Order-to-Cash & Distributor Management
- Own the end-to-end order management process for all Solea laser sales, including receipt, review, and validation of orders against agreed pricing, discount structures, and configurations.
- Identify and resolve order inaccuracies proactively by partnering with territory sales managers, the Solea Success Manager team, distributors and end-user contacts to ensure orders reflect actual sale terms prior to invoicing.
- Generate and issue invoices to the distributor and/or end customers as products are shipped and services rendered.
- Monitor accounts receivable aging and conduct timely follow-up to ensure collections are received on schedule.
- Maintain accurate and thorough records of all orders, invoices, and correspondence in NetSuite and Salesforce.
General Accounting & Month-End Close
- Support the monthly close process, including preparation and posting of journal entries, balance sheet reconciliations, and accruals.
- Assist with preparation of financial statement analyses, including budget-to-actual comparisons and trend reporting.
- Actively participate in cash reconciliation and cash management reporting, given the company's disciplined approach to liquidity.
- Assist with accounts payable operations and credit card program administration.
- Support inventory tracking and management in coordination with operations.
Sales Commission Administration
- Own the monthly calculation and reconciliation of sales commission payments for the field sales team, ensuring accuracy against plan terms, attainment data, and approved adjustments.
- Partner with Sales leadership and HR to manage any disputes, plan modifications, or one-time adjustments on a timely basis.
- Maintain commission calculation models in Excel and support the future migration of commission processes into Salesforce.
Process Improvement & Systems
- Actively participate in Salesforce buildout initiatives, particularly around order management, quoting, and revenue reporting workflows.
- Identify and document opportunities to improve efficiency in current Excel-based processes and collaborate with Finance and Commercial Operations leadership to implement improvements.
- Serve as an internal resource for understanding the data integrity of our commercial transaction pipeline as we evaluate and implement quoting tools.
Audit, Tax & Compliance Support
- Provide support and documentation during the annual external audit.
- Assist with monthly, quarterly, and annual state and local tax filings.
- Participate in systems implementations, upgrades, and testing as needed.
- Perform ad hoc reporting, analysis, and other duties as assigned.
Cross-Functional Collaboration
This role maintains a close working relationship with the Solea Success Manager (SSM) team within Commercial Operations. The SSMs are responsible for customer onboarding and relationship management and serve as the front line for confirming customer order accuracy prior to order submission. The Revenue Operations & Accounting Specialist is expected to establish and maintain a clear, efficient handoff protocol with the SSM team to reduce downstream order errors and accelerate the billing cycle.
Required Qualifications
- BA/BS degree in Accounting, Finance, or a closely related field.
- 1-3 years of progressive accounting or finance operations experience; medical device, dental, or health technology industry experience a strong plus.
- Demonstrated knowledge of generally accepted accounting principles (GAAP).
- Proficiency in NetSuite or a comparable ERP/accounting platform.
- Advanced Microsoft Excel skills, including the ability to build, manage, and maintain complex models used for commission calculations and financial analysis.
- Experience working with order and billing processes that require meaningful validation and resolution prior to invoicing.
- Salesforce experience, or strong aptitude and motivation to develop Salesforce proficiency quickly.
Preferred Qualifications
- Experience calculating and administering field sales commission programs.
- Familiarity with order management, quoting, or configure-price-quote (CPQ) tools.
- Exposure to cash management practices in a pre-profitability or high-growth company environment.
- Experience contributing to systems implementations or process automation initiatives.
Key Skills & Attributes
- Attention to detail and accuracy — you catch what others miss and you follow through until it is resolved. Order reconciliation requires a disciplined, systematic approach.
- Proactive communication — you surface issues early, escalate with context, and close the loop without being asked.
- Commercial instincts — you understand that distributors, end-user customers and the sales team are partners, not obstacles, and you communicate with them in a way that gets results without damaging relationships.
- Process improvement mindset — you are not satisfied with "this is how we've always done it." You document what you do, look for inefficiencies, and are excited by the prospect of building better systems.
- Self-direction — you manage your own workload in a fast-paced environment and meet hard deadlines (month-end close, commission pay dates) without requiring close supervision.
- Cross-functional fluency — you are equally comfortable in a Finance team discussion about journal entries and a call with a territory sales manager about a pricing dispute.
