Title: Supply Chain (SCM) Manager

Department: Finance

Reports to: Shared Services Controller

Job Summary

The Supply Chain Manager leads the development of a reliable, controlled, data-driven, and scalable supply chain function supporting clinical product availability, customer fulfillment, inventory integrity, and business growth. The role oversees supply chain operations, inventory planning and control, purchasing execution, consignment and dropship operations, logistics, reporting, team development, and continuous improvement. The Manager partners closely with Clinical leadership, Finance, Sales, Operations, and other functional leaders, while respecting established decision rights: Clinical leadership owns clinical product selection and related negotiations, and functional leaders own supplier selection, negotiations, and supplier relationships for their respective non-clinical spend. The Supply Chain Manager establishes scalable processes, controls, data visibility, and execution support across these activities.

Responsibilities:

Inventory Management & Control

· Oversee inventory across warehouses, consignment locations, and customer sites, including a distributed network of 200+ clinical facility warehouses at customer hospitals, ensuring appropriate stocking, replenishment, availability, accuracy, ownership, and traceability

· Monitor utilization, stockouts, excess/obsolete/expired inventory, inventory turns, and working capital; identify opportunities to rebalance inventory, improve replenishment, and optimize purchasing

· Own the planning, coordination, documentation and follow-up for recurring physical inventory counts, including the semiannual June and December count cycles, establish clear timelines, roles, instructions, escalation paths, and controls

· Coordinate physical count data preparation and entry in ERP, reconciliations, adjustments, variance investigations, supporting documentation, and remediation tracking in partnership with Finance and site stakeholders

· Develop repeatable and scalable inventory count procedures, training materials, and backup coverage that reduce reliance on individual knowledge, utilize automation techniques, where appropriate, to enhance efficiency, and support consistent execution across locations

· Partner with field, clinical, and hospital stakeholders to improve inventory compliance and operating practices

Procurement, Vendor Management & Supply Planning

· Lead and improvement procurement execution and supply planning processes that balance product availability, cost, lead times, freight, minimum order quantities, and inventory carrying costs

· Support clinical product procurement led by clinical leadership on production selection and negotiations by coordinating purchasing execution, product setup, supply availability, implementation readiness, and ongoing replenishment

· Partner with functional admin/operations business owners on vendor selection for non-clinical spend, contracts, pricing, supplier performance, purchase order execution, product onboarding, and cost-saving opportunities

· Establish and maintain clear procurement governance, approval paths, documentation standards, and segregation of duties in coordination with Finance and functional stakeholders

· Monitor supplier performance and proactively resolve shortages, backorders, substitutions, quality issues, shipping problems, and other supply disruptions

· Establish demand and supply planning processes, including reorder points, minimum/maximum levels, safety stock, and contingency plans to mitigate supply risk

Customer Fulfillment, Consignment & Dropship Operations

· Oversee Supply Chain support for consignment and dropship customers, including order review, purchasing, fulfillment, shipping, receiving, and ongoing inventory requirements

· Partner with Sales, Clinical, and operational leadership to support new customer implementations, contract changes, product requirements, and strategic initiatives

· Ensure customer and clinical supply needs are fulfilled accurately and timely, with clear escalation processes for urgent requirements, stockouts, backorders, and other exceptions

· Resolve complex order, shipping, receiving, damaged/missing product, and inventory issues and improve visibility into order status and product availability

· Coordinate responsibilities across the Supply Chain team and other functions so customer support, drop-ship activity and inventory work have documented ownership and dependable backup coverage

Performance Management, Reporting & Continuous Improvement

· Establish and monitor Supply Chain KPIs covering inventory accuracy, availability, turns, excess/obsolete and expired inventory, supplier performance, lead times, spend, freight, backorders, service levels, and cycle-count execution

· Analyze Supply Chain data and provide leadership with reporting, trends, risks, and recommendations to improve service, cost, inventory investment, and operational efficiency

· Create a baseline view of transaction volumes, workload, recurring exceptions, inventory results, and process performance, then use that baseline to prioritize measurable improvement opportunities

· Lead regular performance reviews with the Supply Chain team and cross-functional stakeholders to drive accountability and continuous improvement

· Evaluate and implement appropriate standardization, automation, system enhancements, and reporting improvements, including practical use of ERP and related tools

Supply Chain Leadership & Operations

· Lead the Supply Chain team and oversee day-to-day purchasing, order management, vendor communication, inventory, logistics, dropship, consignment, and fulfillment activities

· Set clear roles, priorities, performance expectations, staffing levels, cross-training, and backup coverage to ensure effective and accountable operations

· Train, mentor, and develop team members; establish standard work, knowledge transfer, and appropriate backup practices to ensure business continuity

· Assess appropriate division of work between the manager, team members, and cross-functional partners. Learn critical transactional workflows and exceptions directly, then progressively delegate, standardize, simplify, or automate routine work where appropriate

· Evaluate workload distribution, organizational structure, and transactional processes to identify opportunities for centralization, automation, delegation, additional resources, or process redesign

· Build and maintain practical standard operating procedures, process maps, calendars, control evidence, and escalation guides for recurring and high-risk activities

Strategic & Cross-Functional Support

· Support acquisitions, new customer implementations, operational growth, audits, and other strategic initiatives involving Supply Chain

· Partner with Finance/Controller on Supply Chain-related audit requirements, including inventory counts and adjustments, transaction support, reconciliations, documentation, and timely responses to audit requests

· Partner with Clinical leadership and functional owners across Admin and Operations teams to clarify decision rights, improve handoffs, and make procurement and supply chain processes more effective

· Participate in strategic planning for procurement, inventory, logistics, vendors, technology, staffing, and organizational development as the business evolves

· Perform other duties as assigned

Requirements

· Bachelor’s degree or higher in Supply Chain Management or business-related discipline

· 5+ years of current, relevant Supply Chain, Procurement, Operations, or Inventory Management experience

· 3+ years of Supply Chain leadership experience with direct supervisory/management responsibility

· Experience managing distributed inventory across multiple locations strongly preferred

· Strong understanding of demand planning, inventory optimization, safety stock, reorder points, supplier performance, and supply-chain analytics

· Demonstrated experience developing or improving Supply Chain processes, planning methodologies, KPIs, and inventory-management strategies to create a proactive, data-driven, and scalable supply chain function, preferably in a high growth environment

· Healthcare, medical device, healthcare services, or other clinically sensitive supply-chain experience strongly preferred

· SAP Business One experience highly preferred
