Virtual Front Desk Assistant Manager / Practice Relations Manager

ABOUT US

Divit Medical Billing Company and its VA division, Vave Virtual, provide medical billing and HIPAA-compliant virtual assistants (VAs) to US medical practices. We're hiring a Manager for Albuquerque office.

WHAT YOU'LL DO

• Answer inbound inquiries from physician practices about VA and billing services, qualify their needs, run discovery calls and demos, and follow up until they sign.

• Onboard new clients: lead kick-off calls, collect practice and billing information, assign staff, build client-specific SOPs, and oversee the first 30 days.

• Train and certify VAs on US medical front desk and office administration, and maintain SOPs, call scripts, and training materials.

• Monitor VA calls and performance, hold one-on-ones, run team meetings, and give weekly feedback to leadership.

• Serve as the main point of contact for client practices, handling billing inquiries, claim status, and denial follow-ups with the billing team.

• Ensure HIPAA compliance across all client and VA work.

REQUIRED QUALIFICATIONS

• 3+ years of front desk, office management, or practice operations experience in a US medical office.

• 1+ year supervising or training staff (remote team experience preferred).

• Strong working knowledge of scheduling, patient intake, insurance verification, and EHR/PM systems.

• Solid understanding of HIPAA and patient privacy requirements.

• Excellent verbal and written communication skills, with a professional, client-facing manner.

• Comfortable with video meetings, phone systems, and cloud-based tools.

PREFERRED

• Medical billing, client-facing sales, or offshore team management experience.
