Accounts Payable Clerk

Qualifications

• Proven experience as an Accounts Payable Clerk or in a similar role.
• Familiarity with accounting software (QuickBooks).
• Proficiency in MS Excel and Word.
• Excellent attention to detail and organizational skills.
• Strong communication and problem-solving abilities.
• Associate’s degree in Accounting or Finance is preferred.

Responsibilities

• Payroll for small staff, including 401(k) and profit-sharing plans.
• Answer phones.
• Prepare 1099-NEC forms at year-end.
• Process vendor invoices accurately and in a timely manner.
• Reconcile accounts payable transactions and resolve discrepancies.
• Prepare and process electronic transfers and payments.
• Correspond with vendors and respond to inquiries.
• Assist with month-end closing activities.
• Maintain accurate financial records and documentation.
• Adhere to company policies and procedures regarding accounts payable.
• Prepare audit paperwork for General Liability and Workers’ Compensation.

• Enter invoices.
• Pay bills.
• Weekly check run.

QuickBooks – Payroll

• Biweekly check run.
• Biweekly 940 tax deposit and 401(k).
• Workers’ compensation (monthly).
• Year-end W-2s.
• Quarterly taxes.
• 940, 941, and state tax returns.

QuickBooks – Banking

• Monthly bank reconciliation.
• Positive Pay for any checks written.
• Online bill pay.

Office Duties

• Mail.
• Filing.
• Create and maintain job files.
• License renewals.
• Builders’ risk insurance.

Building Permits

• Apply for building permits online.
• Schedule pretreats.
• Schedule inspections.
• Prepare final inspection reports.
