About the Position

We’re seeking a highly organized, motivated, and resourceful Executive Assistant to work directly alongside one of our co-owners, who oversees our sales department, recruiting efforts, and business development.

This is much more than a traditional administrative assistant position.

You’ll be directly involved in helping manage the daily responsibilities of a rapidly growing business, supporting recruiting initiatives, coordinating sales training, assisting with social media and marketing, and ensuring important projects and tasks are completed efficiently.

We’re looking for someone who can become a trusted right-hand person to ownership—someone who takes initiative, solves problems, stays organized, and helps keep everything moving forward.

Previous experience in the roofing industry is highly preferred. Familiarity with insurance restoration roofing, including the insurance claims process, adjuster meetings, and roofing sales, would be especially valuable.

Key Responsibilities

Executive & Administrative Support

* Manage calendars, appointments, meetings, and daily schedules.

* Organize emails, communications, and important follow-ups.

* Assist with managing daily priorities and ongoing business initiatives.

* Coordinate meetings, travel arrangements, and company events.

* Maintain organized records, documents, and internal systems.

* Track deadlines, action items, and outstanding tasks.

* Help streamline processes and improve overall productivity.

Recruiting & Hiring

* Assist with recruiting and hiring roofing sales representatives.

* Communicate with potential candidates and coordinate interviews.

* Track recruiting pipelines and follow up with applicants.

* Assist with onboarding new sales representatives.

* Coordinate recruiting events, campaigns, and outreach initiatives.

* Help develop strategies to attract top sales talent.

Social Media & Marketing

* Assist with managing company and leadership social media accounts.

* Help coordinate Instagram Reels, TikTok videos, and other marketing content.

* Assist with content planning, scheduling, and posting.

* Help generate creative ideas for recruiting and brand awareness.

* Coordinate video shoots and content creation.

* Work with leadership to develop marketing campaigns.

* Track engagement and help improve social media performance.

Sales Department Support

* Assist with organizing weekly sales meetings and training sessions.

* Help create training presentations, documents, and educational materials.

* Track sales performance, production metrics, and team activity.

* Coordinate sales competitions, incentives, and company events.

* Assist with communication between sales representatives and leadership.

* Help organize onboarding and training for new sales representatives.

* Support the continued growth and development of our sales organization.

Business Operations & Special Projects

* Assist with planning and executing company initiatives.

* Coordinate with internal departments, vendors, and business partners.

* Help develop systems to improve efficiency and organization.

* Support expansion into new markets.

* Take ownership of special projects assigned by leadership.

* Identify opportunities to improve workflows and business processes.

Qualifications

Required

* Excellent organizational and time-management skills.

* Proficiency with Microsoft Office, Google Workspace, and modern business software.

* Comfortable using social media platforms.

Highly Preferred

* Previous experience working in the roofing industry.

* Knowledge of insurance restoration roofing and the insurance claims process.

* Understanding of roofing sales, storm damage inspections, insurance adjusters, and claim approvals.

* Familiarity with roofing terminology, materials, and general roofing operations.

* Experience working with roofing sales representatives, project managers, or roofing company leadership.

* Previous experience as an Executive Assistant, Administrative Assistant, or Operations Coordinator.

* Recruiting, hiring, or sales team coordination experience.

* Social media management or content creation experience.

* Familiarity with roofing CRM systems and project management software.

* Experience working with entrepreneurs or rapidly growing companies.
