Job Description

About The Company

Only Data Entry supports organizations by helping them manage, organize, and maintain accurate business information. Our work depends on care, consistency, and respect for the data entrusted to us. We aim to provide dependable data entry services that help clients keep records current, make information easier to access, and support efficient day-to-day operations. We value clear communication, attention to detail, and a thoughtful approach to handling both routine and sensitive information.

About The Role

Only Data Entry is seeking a reliable Data Entry Specialist to enter, review, and maintain information across digital systems and documents. In this role, you will work with a range of records and source materials, transferring information accurately while following established procedures and deadlines. You will help ensure that data is complete, consistent, and easy for authorized colleagues to use. This position is well suited to someone who enjoys structured tasks, takes ownership of their work, and can balance accuracy with productivity. The successful candidate will be comfortable working independently while communicating with team members when instructions, records, or priorities require clarification.

Qualifications

Candidates should have a high school diploma or equivalent; additional education or relevant administrative experience is an asset. Previous experience in data entry, record keeping, office administration, or a related role is helpful but not essential for applicants who can demonstrate strong transferable skills. You should have accurate and consistent typing skills, sound reading comprehension, and the ability to identify missing, inconsistent, or unclear information. Familiarity with spreadsheets, word-processing tools, email, and web-based databases is expected. Experience with customer relationship management systems or other data management platforms is beneficial.

The ideal candidate is organized, dependable, and comfortable following documented processes. You should be able to manage repetitive work without losing focus, meet agreed timelines, and ask questions when information is incomplete. A professional approach to confidentiality and responsible handling of records is essential. Strong written communication, a willingness to learn new software, and the ability to adapt to changing priorities will help you succeed in this role.

Responsibilities

Enter information from forms, documents, and other source materials into the appropriate databases, spreadsheets, or business systems. Review entries for accuracy, completeness, formatting, and consistency, and correct errors in accordance with established guidelines. Compare digital records with source documents, flag discrepancies, and route unclear items to the appropriate team member for resolution. Maintain and update records while following naming conventions, file organization standards, and data retention procedures.

Protect confidential information by following company policies and using approved systems and access practices. Complete assigned work within established quality and productivity expectations, communicate progress or potential delays, and maintain clear records of completed tasks. Work collaboratively with colleagues to clarify requirements, support quality checks, and improve practical data handling processes. Participate in training and apply feedback to strengthen accuracy, efficiency, and familiarity with company tools.

Benefits

Only Data Entry offers an opportunity to build practical experience in data management and administrative operations while contributing to work that supports clients’ everyday business needs. Team members receive role-specific onboarding, guidance on applicable procedures, and opportunities to develop their software and information-handling skills. Compensation, work arrangements, and any additional benefits will be shared with candidates during the hiring process and will depend on the position, location, and applicable company policies.

Equal Opportunity

Only Data Entry is committed to providing a respectful and inclusive workplace. Employment decisions are made based on job-related qualifications, skills, and business needs. We welcome applications from qualified candidates of all backgrounds and do not discriminate on the basis of characteristics protected by applicable law. Reasonable accommodations are available during the application process and in the workplace, as required by law. Candidates may contact the hiring team to discuss an accommodation.
