Job Description

Executive Assistant / Real Estate Administrative Assistant

Courtney McGhee | The Compass Group | Keller Williams

I’m looking for an organized, dependable, proactive assistant to help manage the day-to-day details of my real estate business. This role supports me behind the scenes, keeps clients informed, and makes sure important tasks don’t fall through the cracks.

A real estate license is not required. Real estate experience is helpful, but I’m more interested in someone who takes initiative, communicates well, and follows through.

What you’ll do

Manage my calendar and daily priorities

* Coordinate appointments, meetings, photography, inspections, and vendor visits.

* Keep my calendar organized and help me prepare for upcoming commitments.

* Track tasks and deadlines, follow up on outstanding items, and flag anything that needs my attention.

* Help manage email and organize messages by priority.

Support clients and transactions

* Serve as a friendly, professional point of contact for scheduling and administrative questions.

* Coordinate with our transaction coordinator, lenders, title companies, photographers, and other vendors.

* Collect documents, organize files, and track outstanding paperwork.

* Prepare client gifts, handwritten notes, and closing celebrations.

* Gather information for my weekly seller updates and prepare drafts for my review.

Coordinate listing preparation and marketing

* Help organize photography, staging, signage, lockboxes, and marketing materials.

* Create flyers, social media graphics, and other materials using Canva and established templates.

* Schedule approved social media content and maintain a marketing calendar.

* Organize listing photos, property details, and marketing assets.

* Coordinate open house materials and event logistics.

Keep the business organized

* Maintain our CRM with accurate contact information, notes, and follow-up reminders.

* Organize receipts, invoices, expenses, and vendor information.

* Help document repeatable processes and improve everyday systems.

* Coordinate client appreciation events and agent referral gifts.

* Handle occasional local errands related to listings, events, and client care.

Who would be a great fit

* You’re highly organized and comfortable juggling several priorities.

* You notice details and follow through without needing constant reminders.

* You’re warm with clients, professional with vendors, and discreet with confidential information.

* You can adapt when plans change and stay calm during a busy day.

* You’re comfortable with Gmail, Google Calendar, Google Drive, Canva, and learning new software.

* You have strong writing skills and can make communication sound personal.

* You have reliable transportation for occasional local errands.

* You enjoy supporting someone with a busy schedule and big goals.

Role boundaries

This is an administrative support position. An unlicensed assistant will not show properties independently, negotiate terms, interpret contracts, or provide real estate advice. Questions requiring a licensed agent will come directly to me.

Position details

* Schedule: can be full time or part rime depending on factors

* Location: Hybrid - mostly from home but some in the Maryville/Alcoa area

* Compensation: open to W9 salary or 1099

To apply: Send your résumé and a short introduction to [email protected]. Tell me why this role interests you and share an example of how you’ve helped keep a busy person or business organized.
