Accounting & Payroll Specialist

We are seeking a detail-oriented and organized Accounting & Payroll Specialist to join a well-established nonprofit organization in Jacksonville, Florida. This contract-to-hire opportunity is ideal for an accounting professional who enjoys a diverse range of responsibilities and wants to contribute to a mission-driven organization.

Reporting to the Accounting Manager, this individual will support daily financial operations, including accounts payable, accounts receivable, payroll processing, general ledger reconciliations, and grant-related accounting. The ideal candidate will bring strong accounting fundamentals, excellent organizational skills, and the ability to manage multiple priorities in a collaborative environment.

Accounts Receivable & Cash Management

• Process cash receipts and research payment inquiries.
• Maintain accurate accounts receivable records and account balances.
• Collaborate with internal departments to ensure accurate financial records and donor acknowledgments.

Accounts Payable

• Manage the full accounts payable cycle, including invoice processing, coding, approvals, and payments.
• Review invoices for accuracy, appropriate documentation, and duplicate payments.
• Reconcile vendor invoices, purchase documentation, and corporate credit card transactions.
• Code expenses according to the general ledger and approved budgets.
• Maintain vendor records and resolve payment discrepancies.

Payroll Administration

• Process biweekly payroll accurately and within established deadlines.
• Prepare payroll reports and maintain supporting documentation.
• Ensure compliance with internal payroll procedures and controls.

General Accounting & Financial Reporting

• Prepare journal entries and assist with general ledger maintenance.
• Perform monthly balance sheet reconciliations.
• Assist with grant accounting, tracking, and financial reporting.
• Support annual audits, tax reporting, and budgeting activities.
• Maintain organized and accurate financial documentation.
• Assist with inventory accounting and special accounting projects.
• Identify opportunities to improve accounting processes and strengthen internal controls.
• Provide additional accounting and administrative support as needed.
  
  

• Bachelor's degree in Accounting, Finance, Business, or a related field.
• Minimum of 2-3 years of progressive accounting experience.
• Strong background in accounts payable and general accounting functions.
• Solid understanding of accounting principles, journal entries, and general ledger activity.
• Experience working with ERP or accounting software.
• Proficiency in Microsoft Excel and Word.
• Strong attention to detail, organizational skills, and accuracy.
• Excellent communication and problem-solving abilities.
• Ability to handle confidential financial information professionally.
• Comfortable managing competing priorities and meeting deadlines.
  
  

• Experience with NetSuite or similar ERP systems.
• Previous payroll processing experience.
• Experience in nonprofit accounting, grant accounting, or project accounting.
• Familiarity with audit preparation and supporting documentation.
• Experience with accounts payable automation platforms.
• Ability to work independently while contributing to a collaborative team environment.
  
  

• Fully onsite position in Jacksonville, Florida.
• Professional, office-based environment with regular interaction across departments.
• Occasional flexibility may be needed during month-end close, annual audits, or special projects.
• May require occasional lifting of office materials up to 50 pounds.
